North Bristol SusCom Privacy Notice
North Bristol SusCom Limited is committed to protecting your privacy and processing your information in a fair, lawful and transparent way.
This notice explains how we (North Bristol SusCom Limited) process the information we collect as part of our ongoing work with leading employers to reduce congestion and support the development of a fully integrated, sustainable transport network for North Bristol. This notice was updated on 24 May 2018 in line with the new EU General Data Protection Regulations (GDPR) which took effect from 25 May 2018.
The notice is split into four sections:
1. Information for Members of the North Bristol SusCom Network
When we refer to 'members’ we mean the companies that have joined North Bristol SusCom Network (paid an annual membership fee) and agreed to work together to reduce congestion and support the development of an integrated sustainable transport for greater Bristol. When we refer to ‘member contacts’ we refer to the individual people within that member company who have been identified as the main points of contact.
What information we collect and why
When an organisation joins the North Bristol SusCom Network, we request that one or more member contacts are identified and provide a full name, e-mail address and telephone number for membership purposes. We may also collect information about the companies who have joined as members. This may include: no. of staff; address; telephone number; Twitter handle; website URL.
How we use your information
If you are a member contact within an organisation, we will:
We routinely combine and analyse information we hold about member companies and member contacts with other data we collect to better understand how and to what extent both you and your company engage with the North Bristol SusCom network.
This includes:
We do not share your personal data with any third parties. On occasion, we share and report on member companies’ information for academic research and internal evaluation purposes – any personal data used for statistics is aggregated and anonymised. We also publish a member's slide with company logos on our website.
You have the option to withdraw your personal details from our contact records or your company logo from our website at any point by emailing [email protected].
Methods of communication
We primarily communicate using e-mail. From time-to-time we may use member company’s address or phone number to get in touch with member contacts if we have any essential administrative queries regarding your membership.
How we store your personal data and for how long
We store contact information in Microsoft Outlook contacts. When a member contact unsubscribes or moves on from their company, or we receive an e-mail bounce-back, their contact details are deleted and they will no longer receive membership communications.
On occasion we may need to provide SusCom member meeting hosts with personal data of attendees for security reasons (date of birth, nationality for example). On these occasions data can be provided to the host directly or through North Bristol SusCom and attendees will be advised of the information required and how to submit it as part of the meeting joining instructions. North Bristol SusCom will remove this data from our system immediately after the meeting has been held. We will also advise attendees on the data management process for the meeting hosts where this level of information is required.
Lawful basis for processing data
Our lawful basis for processing personal data is consent. Companies freely join the Network and individuals opt-in to become member contacts for that organisation. We have not and will never use any method of default consent to enable us to collect and process your personal information as a member contact with a member organisation.
Our lawful basis for processing and storing information about your engagement with the Network is legitimate interest – this processing is essential to the development of the company and the services we provide by helping us to understand how and to what extent both you and your organisation has engaged with the Network.
Anyone who is signed up to the Network has the option to deactivate organisational membership, or deactivate individual involvement as a member contact, at any point. You can do this by replying with ‘Unsubscribe’ in the subject heading to any e-mail you receive from us or by e-mailing us directly at [email protected]. Please note: membership fees are non-refundable unless North Bristol SusCom cancels membership.
Any individual can ask us to delete any personal data that we hold at any point during membership or within two years of not renewing membership by sending a ‘Delete personal data’ request to [email protected].
2. Information for e-Member's Briefing subscribers
Our lawful basis for processing your data for the purposes of sending e-Member's Briefing is consent.
These e-Member's Briefings are sent out on an ad-hoc basis and are intended to inform any interested individual about news, information and opportunities related to the sustainable transport mission of the Network. The will include specific opportunities from North Bristol SusCom and those offered by its trusted network of partners.
Your consent for us to use your information in this way is gained when you ‘opt-in’ to membership. We do not pass on this information to third-party companies.
Any individual can unsubscribe at any point by sending an email to [email protected] with unsubscribe in the subject heading.
3. Website privacy information

- send you regular Member's Briefingss to help keep you and your staff informed of news, information and opportunities in the Sustainable Transport field from North Bristol SusCom, South Gloucestershire Council, other members in our network, in the wider city-region and beyond
- send you ad hoc e-mails with invitations and information for you and your colleagues to participate in initiatives and events which North Bristol SusCom are delivering, supporting or associated with (including our bi-monthly network meetings)
- notify you about any membership processes, updates or organisational changes from North Bristol SusCom that relate to and/or may impact on your company’s membership of the Network
- contact you to ensure the information we hold for you is correct
- contact you to request feedback
